How to add and manage Zoom meetings using Google Calendar

We have seen Zoom take over the world in 2024. Millions of people use Zoom for its easy to use interface and bundled features. You will be surprised to know that many job interviews, seminars, music concerts, and even several random calls between friends and family and more take place on Zoom. That said, keeping track of Zoom meetings is often a hassle. We will help you organize and track your upcoming Zoom meetings using Google Calendar in this post.

Google offers users a workplace app Marketplace to enhance the experience of the entire ecosystem. You can download and use relevant apps to integrate third-party apps and services into your workflow. Don’t worry; you can use some Workplace apps with your regular Google account as well.

One of the less intuitive aspects of Zoom is its meeting planner, which can be a little hard to get used to. Luckily for Google Workspace users, Zoom has a Google Calendar integration that makes it easy to add a Zoom call to a Google Calendar event.

In this post, we will walk you through the complete guide to add and manage Zoom meetings via Google Calendar. Let’s begin.

  How to sync Google Calendar with Office Outlook

A couple of things before adding the Zoom add-on to Google Calendar.

  • You can’t install the add-on if you’re signed in to multiple Google accounts. Log in only to the Google account for which you want to install the add-on.
  • When using the add-on, make sure you are not signed into multiple Google accounts with the add-on installed. This will cause problems when scheduling Zoom meetings using the add-in.

For clarity, I used my Gmail ID (non-Google Workspace account) to add the Zoom plugin.

Use Zoom for GSuite add-one from Google Workspace.

With the Zoom add-on for Google Workspace, you can seamlessly schedule, join, and manage meetings right from Gmail or Google Calendar.

After installing the add-on, you can use it in a desktop web browser (Gmail or Google Calendar) or on a mobile device (Google Calendar app).

Follow the steps below to add the Zoom add-on to Google Calendar.

Step 1: Log into your Google account. Visit the Google Workspace Marketplace and search for Zoom for GSuite.

Step 2: Click on the Zoom add-on for GSuite to install it.

Step 3- Review the terms of service, allow the necessary permissions, and click Accept.

Using Google Calendar on the web

Now that you’ve installed the relevant Zoom add-on from the Google Workspace marketplace, you’ll notice them on the Google Calendar web. Follow the steps below.

Step 1: Open Google Calendar in a web browser on your computer.

Sign in using your Google account details, in case you haven’t already.

Step 2: On the right panel, you will notice the Zoom logo just below the Keep, Tasks, and Maps icons.

Step 3: Tap the Zoom logo, and you will be asked to log in using your Zoom login details.

Step 4: Grant the relevant permissions and you’re good to go.

From now on, whenever you use Google Calendar on the web, tap the Zoom icon and start the meeting in the Zoom app on Windows or Mac.

Schedule the Zoom meeting using Google Calendar

Using Google Calendar Web

You can tap the Create button in the top left corner and compose a new event on the Google Calendar web. While adding the details, Google will offer to add video conferencing.

By default, it is set with the Google Meet service. You need to tap the Video Conference menu and select Zoom from the following menu.

Use of Google Calendar mobile apps

You can also schedule a Zoom meeting using the Google Calendar mobile apps. Both the Google Calendar apps for iOS and Android use the same UI so you can follow the same steps on both platforms.

Step 1: Open the Google Calendar app on your iPhone or Android.

Step 2: Tap the + icon in the bottom right corner.

Step 3: Select Event and add relevant details.

Step 4: By default, Google will force you to use the Google Meet service. Tap it and select Zoom from the following menu.

The Google Calendar service uses Google Meet as the default for meetings when more than one video conferencing provider is enabled. If you’ve enabled Google Meet in addition to Zoom and don’t take action, this change will take effect on November 16, 2020.

You can disable the behavior by following the steps below.

Step 1: Open Google Calendar in a web browser.

Step 2: Tap the Settings icon in the top right corner.

Step 3: Go to Settings and scroll down to Event Settings.

Step 4: Turn off the “Automatically add Google Meet video conferences to events I create” option.

How to remove the Zoom add-on from Google Calendar

If you no longer need the Zoom add-on, just follow the step below, remove it from Google Calendar.

Step 1: Open Google Calendar in your favorite web browser.

Step 2: Tap Settings in the top right corner and go to Settings.

Step 3: Scroll down to Add-ons and select Zoom.

Step 4: Select Uninstall from the three-dot menu.
